Budget and Financial Services 

Prepare annual operating budgets 

Bid all work, contracted services and product purchasing using the same scope of work   

Present bids or suggested work situations to the appropriate committees or Board of Directors and give recommendations   

Review all budgets and contracts for service with the Board of Directors for final approval

Answer any questions on budgeting and provide professional record keeping with back-up statements, competitive bids which were taken, and other information needed, to the Board of Directors    

Prepare year-end financial information for review by an outside accounting firm 

General Supervision Services 

Setting of all standards of cleanliness and desired services, as per the direction of the Board of Directors and coordinating same so they are done in a timely and economical manner  
 
Supervision of all contractors on any work in accordance with the standard set by the Board of Directors

Oversight of general construction projects in the event of a natural disaster or fire

Assist the community with capital improvement projects or renovations

Prepare, and make public to HOA members quarterly Board of Directors meeting agendas, meeting places and meeting times to comply with Kansas State Law  

Provide on-site support to HOA by performing regular reviews of property for restriction violations, city code violations and common area maintenance issues    

Monthly Newsletters  

Organize annual meeting including making reservation for meeting space 

Field calls, requests, complaints and questions from residents, vendors city officials, etc.

Insurance Services

Bid all insurance, including but not limited to property coverage, Directors and Officers insurance and liability coverage for common areas

Review all policies to assure they are in compliance with restrictive covenants

Process any claims on the directors or officers, building or common area insurance and handle all reports, and any other information needed by the insurance company, involving any insurance claims

Legal Services 

Liens can be filed for collection of dues, if needed.  Fees are billed to the delinquent owner.  If litigation is necessary, MAK Management, LLC will represent the Association, or legal counsel can be appointed if the Board desires.     

Investigate and obtain legal counsel for any matter involving policy, procedures, etc, which may come before the Board of Directors

Accounting Services

Issue all checks in payment of services, vendors, etc. on behalf of the Association

Pay all invoices and maintain all records of all paid invoices

Code all invoices to the proper budget accounts

Maintain monthly balance sheet, operating statements and other statements pertinent to the community

Collection activities for association dues and other accounts receivable

Issuing of delinquent statements

Maintain all accounts payable

Generate ledger including all journal entries, cash receipts, cash disbursements and preparation of all financial statements

Provide information to the designated accounting firm selected by the Board of Directors or Administrators to conduct yearly audit or review

Supply information for preparation of tax returns if required

Provide user friendly online account management services, integrated resident directory, online discussion boards, electronic Architectural Request functionality and online access to Association documents (restrictions, meeting minutes, etc) to all HOA members

Provide access to association documents and financial statements
